Minimum Qualifications:

  • Grade 12 Certificate with a pass rate above 50% for mathematics
  • QC training induction course (In-house Training)


Experience:

  • Previous Distribution Centre Experience will be an added advantage.

KEY PERFORMANCE AREAS

POSITION OVERVIEW:

The Quality Checker is responsible for securing the stock that has arrived from the client at the drop of point until the Receiving Department has completely received all the stock. The Quality Checker is responsible for building sound relationships with the Receiving Manager and Receiving department as a whole. The Quality Checker must ensure that his/her job is done with accuracy and is responsible for reporting any damages and shortages to Management and the client.


RESPONSIBILITIES:

  • Report for duty on time.
  • Take photo of the truck registration number and truck seals.
  • Ensure that you are in possession of all the relevant paperwork before the truck can be opened.
  • Paperwork to get before offloading starts: Manifest + Invoices.

        - make sure all invoices are listed on the manifest

  • Send all info to site supervisor via WhatsApp.
  • Take photos of the stock in the truck.
  • Take photos of any damages that occurred during transit.
  • Fill in DOCUMENT HAND OVER CONTROL SHEET with all Invoice numbers & get driver to sign DOCUMENT HAND OVER CONTROL SHEET and SITE REPORT. THEN offloading starts:
  • QC responsible to observe offloading & to start counting stock during offloading.
  • All damages need to be noted on site report accompanied by photos (send photos to Site supervisor).
  • During offload QC does not help with the manual offloading (Except under special circumstances) but is required to supervise general workers and to instruct/oversee the offloading process
  • QC starts sorting & counting with receiver. 
  • Any discrepancies should be reported immediately to Site Supervisor & Investigated by the QC with the receiver.
  • All discrepancies to be noted on site report - ALL – from the truck being late, shortages and damages, everything. With reasons.
  • Make sure Product codes, Parcel codes & Invoice numbers are written on the Site report.
  • Get GRV, POD or stamp from the store – Receiving Manager.
  • Get driver to sign site report if not done yet.
  • Verify that your count and the Receivers count match by comparing the Invoice and GRV/POD.
  • Get Receiver to sign site report.

After load has been secure – MAKE SURE:

  • All discrepancies are recorded on SITE REPORTS & DOCUMENT HAND OVER CONTROL SHEET.
  • Complete DOCUMENT HAND OVER CONTROL SHEET with detail from the load.
  • Receiver needs to sign SITE REPORT.
  • If driver is still on site:
  • Hand over all GRV/POD or stamped invoices to driver. 
  • Get driver to sign SITE REPORT and DOCUMENT HAND OVER CONTROL SHEET
  • If driver has left:
  • If there are returns, site supervisor needs to be informed ASAP.

          - Truck to return & do debriefing. 

  • If there are no returns:

          -QC to do debriefing with the client.

          -Client to sign DOCUMENT HAND OVER CONTROL SHEET confirming that they have received all invoices.

  • Job done – write finished time on SITE REPORT.
  • Inform Site Supervisors that you are done.
  • Give all paperwork & Site Reports to Site Supervisors.
  • ALL discrepancies should be investigated, and damages should be noted via WhatsApp. With a photo.


AUTHORITY:

  • To stop site from taking in any stock that has not been checked by yourself.
  • The Quality Checker has Authority over the General Workers and is tasked with instructing and overseeing that the offloading process is done correctly
  • To communicate with General Workers how sorting should take place.

To secure stock correctly between delivery and receiving
